Office Administrator – Real Estate Brokerage
(Maternity leave position - 15 months min.)
Location: Moose Jaw, SK
Compensation: $23–$25 per hour (depending on experience)
Schedule: Full-time, Monday–Friday 9:00am – 4:00pm

We’re looking for an experienced Conveyancing & Office Administrator to join our close-knit team and play a key role in keeping our transactions, records, and finances running smoothly.
The Right Person for This Role
This position is not entry-level. You’ll thrive here if you have experience working in banking, legal conveyancing, or real estate administration, and enjoy structured systems, deadlines, and accuracy. You’re the kind of person who double-checks the details and keeps everyone around you organized.
Duties & Key Responsibilities
- Prepare and review conveyancing documentation for real estate transactions
- Communicate professionally with lawyers, lenders, and agents to coordinate closings
- Manage file organization, data entry, and office administrative tasks
- Maintain confidentiality and uphold compliance standards (SRA / FINTRAC)
- Communicate with agents to ensure that complete listing information and forms are received for all listings
- Basic accounting duties such as accounts receivable, accounts payable, bank reconciliations, payroll, etc.
- Daily Banking
- Ensure that all deal files including paper and electronic versions are properly completed and up to date.
- Upload MLS listings and process any changes as required.
- Designing Marketing Material & Manage Social Media Channels
Preferred Qualifications
- Minimum 1 year of experience in one or more of the following:
- Real estate conveyancing
- Banking / financial administration
- Law office or legal assistant work
- Solid administrative management or office coordination experience (systems, deadlines, and team support)
- Strong attention to detail and accuracy with numbers
- Proficiency with Microsoft Office and basic accounting software
- Excellent communication and organizational skills
- Reliable, team-oriented, and able to manage time independently
